The brief
A nine-site private clinic group ran referrals across email, fax and three separate booking systems. Nobody could say how many referrals were lost between the GP letter and the first appointment, and an information governance review had flagged the absence of an access audit trail.

What we did
M3CA mapped the real pathway with clinicians and administrators, then built a single referral-to-follow-up record with consent capture, role-based access and immutable audit logging at every transition. Existing booking and diagnostic systems were integrated rather than replaced, so no clinic had to change its day-one workflow. Reporting was built for the governance committee first and the marketing team second.

What happened
Referral leakage effectively closed at 96% booked. Time from referral to appointment fell by 11 days. Every access event is now logged and reportable, and the governance review closed without action.
